The different styles and our advice

The seating chart, or table plan, has become very popular at weddings. But before choosing a beautiful design on Pinterest, ask yourself one question: will your guests actually need it?

At Wedding Decor Montreal, we see the seating chart as a practical tool before it is a decorative piece.

1. Do you really need a seating chart?

Some couples order a seating chart that their guests end up not using. This happens especially when:

On the other hand, a seating chart is especially useful for large receptions where each guest must find a specific table.

Our tip: first decide how your guests will be welcomed before investing in a table plan.

2. The different types of seating charts

The classic board: simple and elegant, with guests’ names and their table numbers.

The board with a photo: a photo of the couple built into the design for a personal touch.

The mirror: a refined look, but watch out for reflections that can make names hard to read.

Multiple boards: perfect for large receptions with many tables.

Individual cards: each guest picks up a card showing their table number.

To make searching easier, you can sort guests by table number or alphabetically. For large receptions, alphabetical order is often more practical.

3. The work to prepare before your wedding

This is probably the step couples underestimate the most.

To make your seating chart, your vendor will need a complete guest list, with names spelled correctly and their table numbers.

Other guests may have been invited by your parents or in-laws, without you knowing their full names.

Start your list several weeks ahead. Take time to check the names, their spelling and the table assignments.

Then send the final version to your vendor by the agreed deadline. Corrections after printing can lead to extra fees.

4. What affects the price?

The price mainly depends on:

A simple, well-designed sign can be just as elegant as a grand installation.

5. Welcome sign or seating chart?

These two pieces don’t serve the same purpose.

The welcome sign greets your guests with a welcome message, your names or a photo.

The seating chart tells them which table to sit at.

You can choose both, combine them or keep only the one you need.

Our advice

Don’t choose a seating chart just because it’s beautiful. Make sure it will be useful, easy to read and suited to the number of guests.
